Below are the registration deadlines for each session of the 2025 Kentucky United Nations Assembly.

Important Dates & Deadlines for Program Areas

Keep in mind that spots for special programs such as chairpeople and doorkeepers are limited and therefore not guaranteed. Priority will be granted to earlier registrations when necessary.

How to Register for KUNA

  • KUNA Registration can start as early as the start of your school year, but the actual form opens in January each year. Follow these steps for the best pre-conference experience possible.

1. Access Your Personalized Advisor Portal
Advisors will be given an account on our Advisor Portal where they will complete the following steps for KUNA Registration. If you do not have an account, please contact your Director of Program Outreach.

  • Manage Students & Adults on the School Roster
    Prepare this roster early, as there are info forms that must be completed by students/adults prior to being able to register them for KYA. (Pro-tips: If you have duplicates, ALWAYS let staff know, using inactive/not at this school will end up in many headaches and possible additional charges.)
  • Manage Student YMCA Membership (Optional)
    You can choose to have none, part, or all of your delegation as members. To run a Candidate for Presiding Officer, your delegation at the conference must have 100% membership.

2. Intent & Country Request for KUNA

Each delegation selects the country or countries they choose to represent on a first-come, first-served basis as part of the KUNA Registration process. Please review the country representation chart, linked below, to know how many countries your school can represent. Please be aware that:

Submit an Intent Form for KUNA through the Advisor Portal  to reserve your school’s space at KUNA and request the country(s) you wish to represent in order of preference. Countries and ICJ requests (HS Only) will be assigned on a first-come, first-served basis:

We have a policy of a 15 Person Flex; meaning your intent numbers cannot increase or decrease by more than 15 people during the registration process. If you realize in the time between hitting submit for your intent and before your registration opens, please reach out to emilee@kyymca.org to see if we can get additional students into the conference. No guarantee will be made outside of this 15 Person Flex.

3. Registration Fees

In-Person Fees are as follows:

STUDENT FEES
$285 for Student Y Members | $295 for Non-Members

ADVISOR FEES
$155 for Advisors with Shared Room | $255 for Advisors with Private Room

  • Each delegation is allowed a limited number of rooms of three students, regardless of gender.
  • If additional rooms of three students are requested, you will incur a fee of $139 per additional room.
  • Rooms of one or two students will automatically be shared with one to two students from another delegation (they will not share beds with students from another school). If these students do not want to share a room with another delegation, an additional fee of $139 will be added per room.
  • For every 15 students registered, advisors will receive $155 off of their registration.
  • There is a minimum of 1 adult for every 25 students and a maximum of 1 adult per 10 students.

The KY YMCA is committed to inclusion for all and making rooming as flexible as possible for our schools and students. We are continuing to work diligently to be able to offer low-cost, accommodating, and inclusive rooming solutions in our programs.

The student program fee is based on a four-person sleeping room. Rooming assignments are under the purview and responsibility of the schools/delegations. We understand there are times when creating only rooms of four may not be possible, due to a variety of factors. We are working towards accommodations within our online registration system, but these changes are large on the back-end. We ask you to continue to give us time and grace to have the system allow for all needs.

In the meantime, if you incur fees that are unavoidable, please reach out to Danielle Hall (danielle@kyymca.org) to discuss possible solutions.

We also recognize some schools or delegations may allow for and/or need mixed-gendered sleeping rooms. Our current system does not automatically allow for this, but we are happy to accommodate specific rooming requests as needed. Simply reach out to Danielle Hall at danielle@kyymca.org to make changes.


4. Begin KUNA Registration
Once your KUNA Intent has been approved and registration has opened, Advisors can begin the KUNA Registration process through the Advisor Portal. The registration process will save as you go, so you can complete your registration over several days if needed.

5. Collecting Payment from Students/Adults
Due to the nature of our programming, we begin using submitted registration numbers immediately following the registration deadline. Once a school's registration is submitted, any changes to your roster are subject to charges. We encourage each school to collect a $20 deposit more than four weeks prior to the conference, have $70 collected at four weeks out, and $140 collected at least two weeks prior to the conference as we will hold the school accountable for these fees as outlined in our refund policy.

6. Submit KUNA Registration
Due at submission are all roster assignments, rooming, and resolutions. Failure to submit these by the deadline may mean that your materials do not make our bill book and/or loss of reserved spot for the conference as we may have a waitlist. Before submitting, save any relevant info (rooming, rosters, resolutions, etc.) outside the Advisor Portal; it will be unavailable after submission.

7. Submit Payment
After submitting your KUNA Registration, you’ll receive an invoice for your payment. The payment deadline for the conferences are in the above chart.

*Payment pending is considered a check number, purchase order number, or confirmation from your bookkeeper. We cannot accept advisor assurances regarding payment. This must be received in order to maintain Premier Delegation status if applicable which is required to receive top awards.

8. Requesting Roster Changes & Refunds
After registration is submitted, we are unable to make any changes to your invoice and roster. This includes need-based scholarship discounts. Please note that all roster changes should be communicated during registration check-in. Our refund policy is available here: refund policy.
