LTC Refund Policy

LTC Refund Policy & Request Form

  • Submit the Refund Request Form digitally or with a physical, faxed, or scanned & emailed copy. Emailed pictures will not be accepted due to legibility concerns.
  • Requests will be evaluated by YMCA Staff.
  • Refunds will not be applied to future programming.
  • Student Y member fees are non-refundable for individuals, schools and organizations.
  • Refunds for Need-Based Scholarship given after payment has been processed will be at the discretion of the Y-Staff.
  • If LTC is cancelled by the KY YMCA or program venue due to weather, pandemic or other unforeseen circumstances, non-refundable costs incurred by the organization ($70) will be kept by the Kentucky YMCA Youth Association.
  • If you can attend virtual LTC but not in-person anymore, you can transfer your fee to the virtual conference and we will refund the rest.
  • For in-person LTC If you have a positive COVID-19 test we will refund you fully, if you send us the positive test.
  • If payment has not yet been received, the refund policy will be implemented as outlined and an updated invoice will be provided.
  • Virtual programs: If a student is sick and unable to attend a virtual program a doctor’s note must be submitted. If the refund request is approved, a $15 administrative fee will be kept by the KY YMCA. No other refunds will be provided for virtual programs.
  • Refunds may take up to 30 days to process and are only processed following the conclusion of a conference.
  • No refunds will be granted if requested more than 30 days after the conclusion of the conference.

If your request is submitted timeline:

  • For LTC in-person conferences only (this does not include virtual programming): More than two weeks prior to the conference: the refund amount will be the amount paid minus a $70 administrative and incurred costs fee. Please confer with your advisor and one of you email danielle@kyymca.org to let her know that you will not be there, so he can remove you from our registration documents. He will not be able to discuss the status of your refund.
  • For in-person conferences only (this does not include virtual programming): Less than two weeks prior to the conference: the refund will be half of the amount paid.
  • More than 30 days following the conclusion of the conference: no refund will be given.
  • Virtual programs: If a student is sick and unable to attend a virtual program a doctor’s note must be submitted. If the refund request is approved, a $15 administrative fee will be kept by the KY YMCA. No other refunds will be provided for virtual programs.
